Task: Sending invoices via email 

Send as many invoices via email as possible, while maintaining a high level of accuracy. You can change the sheet however you’d like as long as the data in the columns with the green heading does not get altered. 

Review the Client List document. This will serve as your work queue. You should send one email for each client’s appointment dates, and all invoices should be sent oldest to newest.

Important information to note:

Copayment: This is a fixed dollar amount that patients owe per medical visit (e.g $30). If a client is noted to have a Payment Type of “Copay” for their appointment, that is the fixed amount that they owe for their visit.

Coinsurance: A % of the appointment cost that patients owe per medical visit. For example if the cost of a visit (also known as the total amount to bill an insurance company) is $180 and a client owes 10% coinsurance, they will owe $18. In order to calculate the correct coinsurance, please use the client invoicing calculator (instructions below).

Type the client invoice amount in Column M: Client Invoice Amount in the Client List document

Mark the invoice as complete in the Column N: Client Invoice Status in the Client List document

Supporting Documents

A client appointment list. This list outlines a series of data, however the data most relevant to this task will be: client name, appointment date, the name of the client’s provider, the service code on their appointment (CPT Code), and what type of payment responsibility the client owes: whether it is a copay or coinsurance.

A client invoicing calculator. This will be used to calculate a client’s coinsurance. Please note: you must open this calculator in Google Sheets in order for the tool to function properly. To use this tool, simply select the Provider’s name and the identified CPT codes in Column B. You will then see both the amount that we will bill insurance and the amount to invoice the client in Column E. Adjust the % coinsurance amount to ensure you are invoicing the client the correct amount.
